These Terms & Conditions (“Terms”) govern:
your use of the website aivisionworldforum.com (the “Website”), and
your registration for, purchase of tickets to, and participation in AI Vision World Forum London 2026 (the “Event”), taking place on 28th March 2026 at The QEII Centre, Broad Sanctuary Westminster, London SW1P 3EE, UK.(aivisionworldforum.com)
By accessing or using the Website and/or by purchasing a ticket or attending the Event, you agree to be bound by these Terms. If you do not agree, you must not use the Website or attend the Event.
The Event is branded as AI Vision World Forum London 2026 and is presented by AI Vision Institute & University and London Valley, together referred to in these Terms as “we”, “us” or “our”.(aivisionworldforum.com)

2.1 You must be at least 18 years old to purchase a ticket or register for the Event. If you attend in a professional capacity on behalf of an organisation, you represent that you have authority to bind that organisation to these Terms.
2.2 By using the Website, you confirm that you have the legal capacity to enter into a binding contract under the laws of England and Wales.
3.1 These Terms form a binding contract between you and us when you:
use or access the Website;
create an account or complete any registration form on the Website;
purchase or receive a ticket to the Event; or
attend the Event (in person or, if applicable, online).
3.2 Additional terms may apply to particular ticket types, sponsorship packages, competitions, awards, or other features of the Event (for example, speaker agreements or sponsorship contracts). In the event of a conflict, those specific terms will prevail over these general Terms for that subject matter.
4.1 We may update these Terms from time to time, for example, to reflect changes in law, best practice, or the Event format. When we do so, we will update the “Updated” date above.
4.2 We reserve the right to make reasonable changes to the Event programme at any time, including but not limited to:
adjusting the agenda, schedule, or session formats;
changing speakers, panellists or moderators;
altering the Event opening hours;
changing the venue within the same city, or converting the Event to a partly or fully virtual format (for example, due to public health or safety reasons).
4.3 Where such changes materially affect your booking, we will use reasonable efforts to notify you using the contact details you have provided.
5.1 Ticket prices, categories (for example, early-bird, standard, student, VIP) and availability are listed on the Website and/or on our ticketing platform. Prices may be shown in GBP and may be subject to applicable taxes and fees, which will be clearly indicated at checkout. (aivisionworldforum.com)
5.2 You must ensure that all information you provide during the booking and payment process is accurate and complete. You are responsible for maintaining the confidentiality of any account credentials used to access your booking.
5.3 Payment must be made using one of the accepted methods shown at checkout. Your booking is not confirmed until full payment has been successfully received and you have received a confirmation email and/or ticket.
5.4 We reserve the right to reject or cancel any order, for example if payment is not authorised, if there is an error in the ticket price or description, or if we reasonably suspect fraud or misuse.

6.1 Your cancellation
If you wish to cancel your attendance:
Cancellations received 60 days or more before the Event start date: we will refund 100% of the ticket price paid.
Cancellations received between 59 and 30 days before the Event start date: we will refund 50% of the ticket price paid.
Cancellations received less than 30 days before the Event start date: no refund will be issued.
All cancellation requests must be submitted in writing to info@aivisionworldforum.com from the email address used to make the booking.
6.2 Substitutions (name changes)
If you can no longer attend, you may request to transfer your ticket to another person in the same organisation or category (for example, another delegate) at no additional charge, up to 7 days before the Event start date. All substitution requests must be made in writing and include the full details of the replacement attendee.
6.3 Our cancellation or rescheduling
If we cancel the Event in full and do not reschedule, our liability is limited to a refund of the ticket price you paid.
If we reschedule or change the format (for example, to a hybrid or digital-only event) your ticket will be transferred to the new date or format. If you are unable to attend the rescheduled Event, you may request a refund of the ticket price paid.
6.4 We are not responsible for any additional costs you incur, such as travel, accommodation, or visa expenses. You are advised to consider appropriate travel and cancellation insurance.
7.1 You must present a valid ticket (digital or printed, as specified) to gain entry to the Event. We may require ticket holders to present government-issued identification that matches the name on the ticket.
7.2 We reserve the right to refuse admission or to remove any person from the Event, without refund, if in our reasonable opinion they:
breach these Terms or any on-site instructions;
act in a manner that is disruptive, unsafe, or offensive;
are under the influence of alcohol or drugs; or
pose a security or health risk to others.
7.3 For security and operational reasons, we may conduct bag checks and other screening measures at the venue. You must comply with any security instructions given by venue staff or our representatives.
8.1 The Event is a professional forum bringing together global leaders, researchers, innovators, and industry pioneers. We are committed to providing a safe, inclusive and respectful environment for all participants, regardless of gender, race, ethnicity, religion, disability, age, sexual orientation, or any other characteristic.(aivisionworldforum.com)
8.2 We will not tolerate:
harassment or discrimination of any kind;
abusive, threatening, or derogatory language or behaviour;
unauthorised recording or distribution of confidential or restricted sessions;
disruption of talks, sessions, or exhibition areas.
8.3 If you experience or witness unacceptable behaviour, please report it promptly to Event staff or via the contact details provided. We may take any action we deem appropriate, including issuing warnings, removing individuals from the Event, or contacting law enforcement.
9.1 All intellectual property rights in the Website, Event branding, logos, designs, graphics, text, audio-visual content, and other materials are owned by or licensed to us or our partners and sponsors. They are protected by copyright, trade mark and other intellectual property laws worldwide.
9.2 You may not use our names, logos, or branding (including “AI Vision World Forum”, “AI Vision Institute”, “AI Vision University”, or “London Valley”) without our prior written permission, except where such use is permitted under applicable law (for example, fair dealing/fair use).(aivisionworldforum.com)
9.3 Presentations and materials shared by speakers remain the intellectual property of the speakers or their respective organisations, unless otherwise stated. You may not reproduce, distribute, or publicly display such materials without the permission of the relevant rights holder.
10.1 By attending the Event (in person or online), you acknowledge that we and our authorised partners may:
film, photograph, or record sessions and activities;
capture your image, likeness, voice, or contributions; and
use such recordings or photographs for Event documentation, marketing, and promotional purposes, in any media, worldwide, without additional approval or payment, as permitted by law.
10.2 If you are a speaker, panellist or sponsor, additional media and recording permissions may be set out in separate agreements.
10.3 Attendees may take photographs for personal, non-commercial use, provided this does not disrupt the Event or infringe any confidentiality or IP rights. Any live streaming, full-session recording or commercial use requires our prior written consent.
11.1 You agree to use the Website only for lawful purposes and in accordance with these Terms. You must not:
attempt to gain unauthorised access to the Website, any server or network;
introduce viruses, malware, or other harmful code;
use the Website in any way that could damage, disable, overload, or impair its operation;
copy, scrape, or systematically harvest content from the Website, except as permitted by law.
11.2 We do not guarantee that the Website will be error-free, secure or continuously available. Access may be suspended temporarily without notice for maintenance, upgrades, or for reasons beyond our control.
12.1 The Website may contain links to third-party websites, platforms, ticketing services, payment processors, or resources. These are provided for your convenience only and do not constitute our endorsement of those sites or services.

13.3 We may share your data with carefully selected suppliers and partners who help us deliver the Event (for example, ticketing platforms, payment processors, venue services), always subject to appropriate safeguards and only where necessary.
14.1 While we aim to curate high-quality content and speakers, all information and views expressed at the Event and on the Website are for general information purposes only. They do not constitute professional advice (legal, financial, technical or otherwise), and you should not rely on them as such.
14.2 We do not guarantee that:
any particular outcome, benefit, or commercial result will arise from attending the Event;
the information presented will be complete, accurate, or up-to-date;
the Event will meet your specific requirements.
14.3 Except as expressly set out in these Terms, all warranties, conditions, and other terms implied by statute or common law are excluded to the fullest extent permitted by law.
15.1 Nothing in these Terms limits or excludes our liability for:
death or personal injury caused by our negligence;
fraud or fraudulent misrepresentation; or
any other liability that cannot be limited or excluded under applicable law.
15.2 Subject to clause 15.1, we will not be liable for:
any loss of profit, revenue, business, data, goodwill, or anticipated savings;
any indirect or consequential loss or damage;
any loss arising from events or circumstances beyond our reasonable control (including but not limited to force majeure events described in clause 16).
15.3 Subject to clauses 15.1 and 15.2, our aggregate liability to you arising out of or in connection with these Terms, the Website, and the Event (whether in contract, tort, negligence, or otherwise) shall not exceed the total ticket price paid by you for the Event.
16.1 We are not liable for any failure or delay in performing our obligations under these Terms where such failure or delay results from events, circumstances or causes beyond our reasonable control, including but not limited to acts of God, epidemics or pandemics, war, terrorism, civil unrest, strikes, lockouts, extreme weather, or failure of utilities or transport networks.
16.2 In such circumstances, we may modify, postpone, or cancel the Event, or move it online, without incurring liability beyond any refund expressly set out in clause 6.
17.1 You agree to indemnify and hold us harmless from any claims, demands, damages, losses, costs and expenses (including reasonable legal fees) arising from or in connection with:
your breach of these Terms;
your misuse of the Website or Event facilities;
your violation of any law or third-party rights.
18.1 These Terms, and any dispute or claim arising out of or in connection with them or their subject matter, shall be governed by and construed in accordance with the laws of England and Wales.
18.2 The courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising from or related to these Terms, the Website, or the Event.
